Background
The Management Assistant Intervene as the right-hand person of trust of the Country Director/ResRep in all current affairs in order to allow him/her to focus on the essence of his/her job. The position will also be responsible for payroll management in coordination with other HR team members. The position reports to the Resident Representative (ResRep) of Enabel in Mozambique with a dotted line to the HR Manager.
Job description
Main duties of the Management Assistant:
Support with HR administrative tasks, mainly processing of staff salaries in coordination with other HR personnel.
Ensure that the ResRep is freed up of any administrative tasks.
Prepare mails, reports, presentations, and other documents on the basis of a draft version, minutes or a spoken message using various computer software;
Elaborate the agenda, invites and write minutes of meetings and disseminate them to the concerned participants.
Make translations from Portuguese to English and vice versa;
Be the go-between and represent the ResRep with internal and external persons in order to facilitate the exchange and screening of information and thus build and strengthen relations and keep up the image of the department.
Manage external contacts (ministries, Embassies, officials…)
Organise meetings and travel logistics to ensure optimal operations;
Organise missions and their logistical aspects;
Process expatriates for visa, residence permits and identity cards and ensure their follow up;
Organise transport, itineraries, conferences, and participation of the ResRep to social events;
Prepare files, help with the elaboration of plans, ensure the follow-up of decisions taken;
Collect, analyse, and manage information related to the activities of the Department/Representation;
Do searches for information and prepare summary for the ResRep;
Archive the documents (mails, plans, reports…) in the organisation’s systems, ensure they are updated and manage the access rights to the systems and create or update contacts database;
Your profile
Required qualifications and experience.
Bachelor’s degree in any relevant field
At least 5 years of relevant experience as the right hand of a director
Experience in processing salaries and knowledge of payroll systems.
An international experience (i.e. in the international development sector and outside your country) is an asset.
Requirements, skills and knowledge
Mozambican Citizen;
Broad and in-depth understanding of the various aspects of international cooperation (context, challenges, strengths, partners, functioning, etc.) is an asset;
Fully ICT literate (Word, Excel, PowerPoint) ;
Respectful and are able to build relations on the basis of credibility and expertise;
High levels of engagement, sense of responsibility and integrity;
Focus on results-oriented management;
Eager to take initiatives and are proactive;
Flexible and can work in a changing environment;
Team player;
Strong analytical and writing skills;
Fluent in spoken and written Portuguese. English proficiency is required, considering the international environment of the position. Knowledge of French is an asset.
